Three limits decide a free CRM plan

Free CRM plans are capped by the number of users, the number of contacts or records, and the features you get. The numbers below come from each vendor's pricing page:

CRMUsers on the free planContacts or records
HubSpotUp to 21,000 contacts
Zoho CRMUp to 35,000 records across all modules
AttioUp to 3 seats50,000 records
VtigerUp to 103,000 records
EngageBayUp to 15250 contacts
CapsuleUp to 2250 contacts
Flowlu2100 contacts
Bigin1500 records

Count how many contacts you already have in your inbox, phone and spreadsheets before you pick. A plan with many users but 250 contacts fills up fast once you import an old address book.

Hosted free plan or open source

Hosted free plans run in the browser and on phone apps with nothing to install. The vendor sets the limits and can change them, and the free plan is usually the first step toward a paid one.

Open source CRMs such as EspoCRM, SuiteCRM, Twenty, Krayin and CiviCRM have no user or contact cap from a vendor, but you run them on your own server and handle updates and backups. EspoCRM's repository lists PHP 8.3 or newer and a MySQL, MariaDB or PostgreSQL database, and Krayin asks for at least 3 GB of RAM. Twenty's license is mostly AGPLv3, but files marked as Enterprise are under a commercial license.

CiviCRM is built for nonprofits, NGOs and advocacy groups and works with WordPress, Drupal, Joomla and Backdrop.

What free plans leave out

  • Automation: Zoho CRM's free edition allows workflows for up to 5 tasks, Bigin allows 3 automations, and Flowlu 1 workflow.
  • Pipelines: Capsule, Bigin, Bitrix24 and Flowlu each include 1 sales pipeline on the free plan.
  • Email: Attio's free plan sends 200 emails a month, Vtiger's One Pilot plan 1,000 emails a month, and EngageBay's 1,000 branded emails.
  • Reports: Vtiger lists reports and dashboards only on paid tiers, and Attio's free plan allows up to 3 reports.

If a missing feature is a deal breaker, check it on the pricing page before you import your contacts.

Frequently asked questions

Which CRM is free for the most users?

EngageBay's pricing page says its free plan is free for teams of up to 15 members, with 250 contacts. Vtiger's One Pilot plan allows up to 10 users and 3,000 records. Open source CRMs like EspoCRM and SuiteCRM have no vendor cap on users, but you host them yourself.

Is the HubSpot CRM really free?

HubSpot's product page says the CRM is 100% free with no expiration date and no credit card required. The free tier covers up to two users and 1,000 contacts. Paid Starter plans add more features.

What is the best free CRM for a solo business?

It depends on how many contacts you have. Bigin's free plan is for 1 user with 500 records, Capsule allows 2 users and 250 contacts, and HubSpot allows 2 users and 1,000 contacts. Zoho CRM's free edition stores up to 5,000 records for up to 3 users.

Can I host a CRM on my own server for free?

Yes. EspoCRM, SuiteCRM, Twenty and CiviCRM are open source under the AGPLv3, and Krayin is under the MIT License. The software is free, but you pay for and maintain the server yourself.

Can I move my contacts out of a free CRM later?

Usually, but check the limits first. Zoho CRM's free edition, for example, allows up to 10 data exports. Export your contacts as a CSV file now and then, so you always have a copy outside the CRM.
