How the email signature generator works
An email signature is a small piece of HTML at the end of your messages. This generator builds it from your entries as a table with inline styles: every color, size and font is written on the element itself, and the layout is held together by table cells rather than by a stylesheet. You see the result in the preview as you type.
When you click Copy signature, the signature goes to your clipboard as formatted text, the same way it would if you selected it on a web page and copied it. You then paste it into the signature settings of your mail app. Copy HTML copies the source code instead, for apps, tools or website footers that ask for HTML.
- Four layouts: image on the left with a colored line, image on top, image below the text, or a compact version without an image that fits on two or three lines.
- Links that work: your phone number becomes a tap-to-call link, your email a mailto link, and your website and social profiles open in the browser. Links without https:// get it added.
- Plain text too: the clipboard also gets a plain-text version, for fields that do not take formatting.
Your photo or logo
This tool does not upload, store or host images. A signature image has to be online somewhere, because the mail app of the person who reads your email loads it from its web address. Put your photo or logo on your own website, or another place where it is public, then open it in your browser and copy the image address. It should start with https://. The preview loads the image from that address too. If it does not show here, check that the address is public and opens in a private browser window.
Choose whether the image is a photo or a logo. A photo is shown as a square at the size you pick, and you can make it round or give it rounded corners. A logo keeps its own shape: the size is its height, and the width follows. For Gmail, Google recommends a signature image 70 to 100 pixels high and 300 to 400 pixels wide, and gives 100 pixels high by 1,000 pixels wide as the maximum.
If you would rather not host the image yourself and you use Gmail, add it there. Google's troubleshooting page lists three ways to add an image to a Gmail signature: a web address, an image from Google Drive that is shared publicly, or an upload from your device. Copy the signature from here without an image, paste it into Gmail, and add the image in Gmail's signature editor.
Add the signature to Gmail
These steps follow Google's help page on Gmail signatures for Gmail on a computer:
- Click Copy signature above.
- Open Gmail. At the top right, click Settings, then See all settings.
- In the Signature section, paste your signature into the box.
- At the bottom of the page, click Save Changes.
Gmail allows up to 10,000 characters in a signature, and images count toward that limit. The Gmail app on Android has its own mobile signature setting; according to Google, if you do not create one in the app, new messages use the signature you set up on your computer.
Add the signature to Outlook
These steps follow Microsoft's help page on Outlook signatures. In new Outlook for Windows, Outlook on the web and Outlook.com they are the same:
- Click Copy signature above.
- Select Settings, then Accounts > Signatures.
- Select Add signature and give it a name.
- Paste your signature into the editing box below the name.
- Use the checkboxes to choose whether it goes on new messages and on replies and forwards, then select Save.
In classic Outlook for Windows, open a new email message, then on the Message menu select Signature > Signatures. Choose the email account, select New, type a name, paste the signature into Edit signature, set your defaults under Choose default signature and select OK. Microsoft notes that if you use Outlook and Outlook on the web with a Microsoft account, you need to create the signature in both.
Add the signature to Apple Mail
These steps follow Apple's Mail User Guide for Mail on a Mac:
- Click Copy signature above.
- In the Mail app, choose Mail > Settings, then click Signatures.
- In the left column, select the email account for the signature.
- Click the add button below the middle column and type a name for the signature.
- Click into the right column and paste, with Edit > Paste in the menu bar.
Apple's Signatures settings page explains that with Always match my default message font selected, the signature uses the message font from your Fonts & Colors settings. Turn it off if you want to keep the font you picked here.
Tips for a signature that works everywhere
Keep it short. Name, role, company, one phone number, your website and two or three profiles are enough for most people; the compact layout puts all of that on three lines. Use a color with enough contrast for links, because they are what people click. Every font in the list comes with fallback fonts written into the signature, so a reader whose device lacks your first choice sees the next font in that list.
After you paste, send a test email to yourself and to an address at another provider, and open it on your phone too. If something looks off, adjust it here, copy again and replace the old signature. If you also need a business card or contact link, the QR code generator can turn your website or contact details into a code, and the UTM builder adds tracking tags to the website link in your signature.

- 4Click Copy signature and paste it into Gmail, Outlook or Apple Mail with the steps above, or copy the HTML for other apps.
Frequently asked questions
How do I add a logo or photo to my signature?
Put the image online first, for example on your own website, and paste its web address into the image field. A mail app shows a signature image by loading it from that address. This generator does not upload or host images, so nothing you add here is stored on our side.
Why does my signature look different after pasting?
Check the settings of your mail app first. In Apple Mail, Apple says that with "Always match my default message font" selected, a signature uses the message font from your Fonts and Colors settings. In Gmail, Google suggests Remove formatting when a formatted signature does not display correctly, which also removes the styling. Paste into an empty signature box and send yourself a test email.
How long can a Gmail signature be?
Gmail Help gives a limit of 10,000 characters and says that images count toward it. If Gmail shows an error, shorten the signature or resize the image. The generator shows how many characters the HTML of your signature has.
What size should a signature image be?
For Gmail, Google recommends a signature image 70 to 100 pixels high and 300 to 400 pixels wide, and gives 100 pixels high by 1,000 pixels wide as the maximum. The size field sets the height of a logo and the width and height of a photo.
Can I use the signature in other mail apps?
Try it. "Copy signature" puts it on the clipboard as formatted text and as plain text, so you can paste it into any signature editor that takes formatted text. If an app or tool asks for HTML code, use "Copy HTML" instead. Send yourself a test email to check the result.
Is my information saved or sent anywhere?
No. The signature is built in your browser and nothing is sent to a server. If you tick "Save on this device", your entries stay in this browser for the next visit, and Clear removes them. The preview loads your image from the address you enter, the same way a mail app does.
