A quote template that fills itself in
A quote, also called an estimate, tells a client what a job will cost before you start. This quote generator builds it from the fields on the left, shows the finished page next to them on a wide screen or below them on a phone, and downloads it as a PDF in one click. You do not need a Word or spreadsheet template, an account or a watermark-free upgrade.
- Line items: one line per product, service or phase, with quantity and unit price. Amounts, the subtotal, an optional discount and the tax are worked out for you.
- Prices as you have them: paste $1,200, 1.200,00 € or 50 CHF. The currency sign is ignored and the number is read in the format of the quote language.
- Valid-until date: pick 14, 30, 60 or 90 days from the quote date, set your own date, or leave it open.
- Your details on opt-in: tick "Remember my details" and your name, address, logo, tax number, terms and numbering are kept in this browser for the next quote. Client data and items are never stored.
What a good quote includes
A client should be able to say yes to a quote without asking anything first. That means it answers five questions:
- Who is offering what to whom. Your name or business with contact details, the client's name, a quote number and the date. The number lets you both refer to this exact version later.
- What exactly is included. Describe each line so that someone who was not in the meeting understands it: "Home page design, two rounds of changes" is clearer than "Design".
- What it costs. Quantity and unit price per line, the subtotal, any discount and the tax, and the total in bold. If you charge tax, use the name and rate that apply to you, like sales tax, VAT or GST.
- How long the price stands. The valid-until date. After it, you are free to update the price.
- The terms. How changes outside the scope are billed, what the client has to deliver, and when payments are due, for example a deposit on acceptance and the rest on delivery.
The rules for what a quote must contain, and whether an accepted quote is a binding contract, depend on your country and your trade. If a lot of money is involved, have your terms checked by a lawyer or your trade association.
Getting the price right
The quote is only as good as the numbers on it. For project work, estimate each phase in hours, add a buffer for the unknowns and multiply by your rate. The freelance project price calculator does exactly that, with three-point estimates, a contingency buffer and a payment split you can copy into the terms. If you are not sure about the rate itself, the hourly rate calculator works it out from the income you want, and the markup calculator helps when you resell products at a margin.
A discount on a quote is a percentage of the subtotal, taken off before tax. If you want to show a rush fee instead, add it as a line item, so the client sees what it is for.
From quote to invoice
When the client accepts, "Convert to invoice" hands the quote over to the invoice generator. Because both tools run in your browser, the hand-over goes through this browser's local storage and not through a server. After you confirm, the invoice generator opens with your details, the client, the items, the discount and the tax rate, and the quote number as the reference. If you saved an invoice number, payment terms or bank details there before, they stay. Check the invoice number and the payment terms, add your payment details, and the invoice is ready.
The invoice generator keeps the converted data as a draft on this device until you turn off "Also keep this draft" or use Clear there. Converting replaces any draft that was open in the invoice generator.
The PDF
The PDF is made in your browser and uses the standard Helvetica font. Attach it to an email or print it. It uses A4 or US Letter paper, adds page numbers when the items run over more than one page, and carries your logo in the top left. In German the labels change to Angebot, Angebotsnr. and Gültig bis, with German number and date formats. Print uses the same layout, and Print and save as PDF from your browser is a fallback if you need letters outside the Western European set.
How to use the quote generator
- 1Enter your details and, if you like, add your logo. Tick "Remember my details" to keep them on this device.
- 2Add the client, the quote number, the date and how long the quote is valid.
- 3List the line items with quantity and price, then set a discount and the tax rate if needed.
- 4Write your notes and terms, check the preview and download the quote as a PDF. Once it is accepted, convert it to an invoice.
Frequently asked questions
Can I use it for an estimate instead of a quote?
Yes. Both are a price for work before it starts, and this generator makes that document under the title Quote. If your price could still change, say so in the terms, for example how extra work outside the listed items is billed, so the client knows what is fixed and what is not.
Is the quote generator free?
Yes. No account, no watermark and no limit. The PDF is created in your browser, so nothing you type is sent to a server.
How long should a quote be valid?
That is your decision. A valid-until date protects you when your prices or your schedule change. Pick 14, 30, 60 or 90 days, set your own date, or choose no end date. The date is printed next to the quote number.
Are my details saved?
Only if you turn on "Remember my details on this device". Then your name, address, logo, tax number, settings, terms and the quote number stay in this browser for your next quote. Client names and items are never kept. Clear removes everything this page stored.
How do I turn an accepted quote into an invoice?
Click "Convert to invoice". After you confirm, the quote is handed to the invoice generator in this browser and opens there as a draft with the same client, items, discount and tax, and the quote number as the reference. Check the invoice number and payment terms, then download the invoice.
Can I write the quote in German?
Yes. Switch the language to Deutsch and the labels on the quote change, from Angebot and Angebotsnr. to Gültig bis, with German number and date formats. What you type yourself stays as it is.
Why do some special characters look different in the PDF?
The PDF uses the standard Helvetica font, which covers English and Western European languages. Letters outside that set, like Polish Ł, are written without the accent, and emoji are left out. If you need them exactly, use Print and save as PDF from your browser.
