A Sunday evening routine

The sheet works best when it is filled in once a week by everyone at the same time. Sunday evening after dinner is the usual slot: the week ahead is close enough that people know their plans, and far enough that changes can still be made. Put the sheet on the table, go through the days in order, and let each person say what is fixed for them: school, work, practice, appointments, a friend coming over. Write the fixed things first, then look at the gaps and the clashes. Two children at two places at the same time, with one car, is the kind of thing that is easy to see on paper and hard to see in four separate calendars. Type the names and the Week of date before you download, and the sheet is ready to write on the moment it comes out of the printer.

Color coding by pen

One pen color per family member turns the grid into something you can read from across the kitchen. Keep the pens with the sheet, in a jar or a clip, and let each person write their own entries in their color; even a young child can draw a symbol in their column. Use a plain pencil for things that are not certain yet, such as "maybe cinema", and ink them when they are. Changes during the week get crossed out, not scribbled over, so the original plan stays readable and nobody argues about what was agreed. If a plan moves to another day, draw a small arrow to the new cell.

Using the extra rows

Meals is for the dinner plan: one word per day is enough, and the shopping list follows from it. Who drives is the row that saves the most trouble in a family with children and activities; write the name of the driver next to the time, and the pick-up as well as the drop-off, since the two are often different people. Notes holds everything that belongs to the house rather than a person: the bin day, a delivery, the babysitter, grandparents visiting. Switch off any row you do not use, and the day rows grow to fill the space.

Children and their own routines

The family sheet shows the week; it does not show how a child's day runs. For that, print our kids daily routine with the morning and evening steps in order, and hang it next to the family sheet at the child's eye level. Chores belong on their own sheet too, so the week grid stays for appointments and plans: the chore chart gives each child a row of tasks to tick off. Once a child can read the family sheet, give them the pen in their color and let them write their own column; the plan holds better when they put it there themselves.

Tools that help with planning

When part of the family lives in another time zone, a grandparent abroad or a parent traveling for work, the meeting planner shows at which hour a video call suits everyone, and that hour goes into the Evening row. For the end of a school term, a trip or a birthday, the countdown timer gives the children a number of days to watch, which answers "how long until" without a calendar. For school holidays and vacation requests, the business days calculator counts the working days between two dates, so you know how many days off a trip actually takes.

Related printables: the meal planner has the room for the full week of meals that the Meals row does not, and the weekly planner is the single-person version of this sheet.

Frequently asked questions

Is the weekly family schedule free?

Yes. Download a fresh sheet every week, as often as you like, for your family, a shared flat or a care rota. There is no signup and no watermark; one small line at the bottom of the page names our website.

How many family members fit on the sheet?

Two to six, one column each. Type the names one per line and they print in the header; with nothing typed you get 4 blank columns to label by hand. Names longer than 24 characters are shortened, so use first names or nicknames.

What does the time of day split do?

Each day gets three rows, Morning, Afternoon and Evening, instead of one cell per person and day. Pick it when the days are full: school, practice, a shift, dinner at a friend's. With one cell per day you have more room to write, which suits families with one or two things per person a day.

What are the extra rows for?

Meals, Who drives and Notes print as wide rows under the days. Meals is for the dinner plan of the week in one line per day, Who drives for the pick-ups and drop-offs, and Notes for anything that is not tied to a person: the plumber on Tuesday, grandparents visiting on Sunday. Switch off the rows you do not use and the days get taller.

Why are some characters missing from the names in the PDF?

The PDF uses a basic font that covers English and most Western European letters, but no emoji and no other scripts such as Greek, Cyrillic or Chinese. Those characters are left out, a few rare accented letters print without the accent, and a note under the field tells you when that happens. The preview shows what will print.

Can I print it bigger than Letter or A4?

The PDF is a landscape Letter or A4 page. For a bigger sheet on the fridge, use the scale-to-fit option in your print dialog with a larger paper size, or print on two sheets with a poster option if your printer offers one. The lines stay sharp at any size.
