What a rent receipt should say

A receipt answers one question months later: was the rent for this period paid, how much, and who took the money. The template gives each part of the answer its own place: who paid, the address of the rental, the amount in a box of its own, the period the payment covers, how it was paid, the date, a receipt number and the landlord's name with a signature line. Fill in every part, even when it feels obvious on the day; a receipt that only says "rent, paid" is of little use when a bank statement and a memory disagree.

Filling it in

  1. Type the landlord and tenant names as they appear on the lease, and the address of the rental including the unit.
  2. Enter the amount received and pick the currency. The amount box shows it the way it will print; type only what was actually paid.
  3. Write the period the payment covers, from the first to the last day, and the date the money came in. Writing the month in words, like "November 1 to November 30", avoids any doubt about the date order.
  4. Pick the payment method, or leave it blank to tick a box by hand. For a check or a transfer, the Notes lines on the large receipt have room for the check number or the reference.
  5. Give the receipt a number, sign it, and keep a copy.

Numbering and keeping copies

A simple scheme is the year followed by a running number, such as 2026-014. With three receipts per page, the number counts up on each receipt, so a page printed once a quarter gives you three numbered receipts in a row. Keep a copy of every receipt you hand out, either a second print or a photo, and file them by property and period. The receipts of a year, read in order, show every payment without a spreadsheet, and gaps in the numbering show at once when something is missing.

Partial payments and balance due

When a tenant pays part of the rent, write the amount actually received in the amount box and the open remainder under Balance due. Do not write the full rent as received. The second payment then gets its own receipt with the same period, and the two together add up to the month. If you handle late fees or deposits, give them a receipt of their own instead of folding them into the rent amount, so each receipt describes one payment for one thing.

For tenants

If you pay in cash, ask for a receipt every time and keep them together with the lease. For transfers, the bank statement is your receipt, but a signed slip from the landlord is still useful when the statement only shows a reference number. Check that the period and the amount on the receipt match what you paid before you leave. What a landlord must give you, and when, depends on where you live, so check the rules where you live.

Tools and templates for landlords and tenants

The receipt generator makes a typed receipt with line items and a total when a payment covers more than the rent, for example rent plus a parking space. The invoice generator is the matching document before the payment: an invoice for the month's rent with a due date and the bank details. For a shared apartment, the rent split calculator splits the rent between roommates by bedroom size, with a share for the shared space and extras like a private bath, and the rent affordability calculator shows what rent fits a given income before signing a lease.

Landlords who track several payments a month can log them in the expense tracker or the petty cash log, which has a running balance for cash that comes in and goes out.

Frequently asked questions

Is the rent receipt template free?

Yes. Download it as often as you like, for one tenant or a whole building, month after month. There is no signup and no watermark; one small line at the bottom of the page names our website.

Do I have to fill in the fields?

No. Every field is optional. Whatever you leave empty prints as a line to fill in by hand, so you can also print a blank pad of receipts and write each one when the rent comes in. Typed values are printed on the lines, and the amount appears in the amount box in the currency you pick.

How do three receipts per page work?

The page holds three receipts of the same size, separated by dashed lines to cut along. All three carry the same details, so for one tenant you get receipts for three months with the period left open, or you print one page per tenant. If the receipt number ends in digits, it counts up on each receipt, from 2026-014 to 2026-015 and 2026-016.

What is the Balance due line for?

For a payment that does not cover the full rent. Write the amount received in the amount box, the amount still open under Balance due, and the receipt shows both. When the rent is paid in full, write 0 or leave the line empty.

Do I need to give a rent receipt at all?

Rules about receipts, what they must say and when a landlord has to give one differ from place to place, so check the rules where you live. Many tenants ask for one for cash payments or for their own records, and a receipt with the period, the amount and a signature answers most questions about whether a month was paid.

Why are some characters missing from my text?

The PDF uses a standard font that covers English and most Western European letters, but no emoji and no other scripts such as Greek, Cyrillic or Chinese. Those characters are left out, a few rare accented letters lose the accent, and a note under the fields tells you when that happens. The preview shows the text exactly as it will print.
